: Description
The Administrator, reporting to the Director of Medicine is responsible for overall functioning/integration of Administrative activities within Medicine and its Divisions.
Responsibilities- Ensure all JOC requests for department of medicine are submitted and followed up.
2. Provide administrative support for Departmental Quality Assurance (QA) Program. Participate in Continuous Quality Improvement (QCI) Programs within the Department.
3. Ensure departmental preparedness for all accreditation and regulatory activities. Maintain Departmental Administrative Policy and Procedure Manual.
4. Oversight of Bell Commission/405 regulations for the Department of Medicine attending and housestaff, including budgetary and program submissions and coverage schedules for attending physicians and faculty appointments and reappointments.
5. Administer staffing and resources for the Department of Medicine. Oversee the supervision, scheduling and assignment of staff not under supervision of a technical supervisor. Oversight of timekeeping/payroll documentation for MSS and HHC employees.
6. Monitor the distribution and completion of annual departmental evaluations, including MSS union, non-union and HHC union employees. In consultation with each section chief, review performance of section support staff.
7. Provide direction for office supervisors regarding hospital personnel policies. Oversee labor relations in the Department of Medicine and participate in progressive disciplinary proceedings as indicated.
8. Assist in annual budget development and monitor all HHC OTPS and Mount Sinai Services PS and OTPS expenditures. In Consultation with section chiefs prepare capital and non-capital equipment requests.
9. Provide administrative support to housestaff and attending physicians, including planning and coordination of space.
10. Coordinates faculty appointment to Mount Sinai School of Medicine with Director of Medicine.
11. Ensure staff participation in annual mandatory safety training
12. Service as a liaison with other hospital departments. Maintains effective interdepartmental communication.
13. Special assignments as necessary.
Qualifications- Work requires advanced communication, technical and computer skills necessary to complete budgets and reports, make presentations and contribute to departmental planning at a level normally acquired through completion of a masters degree in business, healthcare administration or accountancy. Appropriate experience in conjunction with acquisition of a bachelors-level education may be substituted as an equivalent for masters degree criterion.
- Knowledge of clinical administration, computerization, budgetary concepts and healthcare regulation necessary at a level normally acquired through eighteen months to two years of progressively more responsible experience.
- Problem-solving and analytical ability necessary to solve problems of average to difficult complexity (expediting credentialing, meeting reporting deadlines, resolving human resources management problems). Standard methods, guidelines and procedures govern work performed, although incumbent involved with revising or developing procedures to meet department needs.
- Discretion required in handling confidential clinical, budgetary and administrative matters. Interpersonal contact skills are critical for good performance: good written and oral communication skills are mandatory in this middle management job, which is often the initial contact external parties (private, regulatory job, governmental) have with clinical department and institution. Job involves a troubleshooting aspect, particularly when assisting house staff officers. Must interact effectively with physicians, administrators and various levels of hospital staff and members of external agencies
- Advanced Microsoft Office Suite skills required.
