Job Summary:
The Escrow, Insurance & Investor Relationship Specialist is responsible for supporting loan servicing, escrow administration, insurance tracking, secondary market loan activity, and related compliance functions. This position manages the lifecycle of escrow and insurance accounts for retail and commercial loans, supports secondary market reporting and loan sale processes, and ensures work is completed accurately, timely, and in accordance with regulatory and company guidelines.
Essential Job Duties and Responsibilities: (Additional duties as assigned)
- Escrow Administration: Set up, maintain, analyze, and update commercial and residential escrow accounts. Process escrow payments for taxes, insurance premiums, and other applicable fees in a timely and accurate manner.
- Tax Monitoring: Verify tax payment status for non-escrowed mortgage loans using online resources and county records. Set up tax addendums in the bank's core system and submit required forms to county offices.
- Escrow Reporting: Prepare trial balance reports, initial escrow statements, annual escrow reviews, and monthly escrow reports. Monitor newly originated loans, paid-off loans, upcoming payments, and past-due escrow items.
- Insurance Tracking: Track property, flood, vehicle, and other required insurance coverage for retail and commercial loans to ensure collateral remains properly insured.
- Insurance Processing: Process insurance mail, scan and upload documents to third-party vendors, pay insurance bills, maintain tracking records, and order lender-placed or vendor-provided coverage when required.
- Customer and Internal Support: Respond to borrower inquiries regarding escrow balances, payments, insurance requirements, and account discrepancies. Provide related activity reports and coordinate with internal departments as needed.
- Secondary Market Loan Sales: Review loans in Encompass, perform pre-closing quality control, and determine eligibility for secondary market sale. Commit, deliver, fund, and maintain files for sold loans. Provide regular updates to senior leadership on loans sold and loans in the pipeline.
- Secondary Market Reporting and Compliance: Report delinquencies, respond to investor quality control requests, perform required quality control reviews, complete monthly reports, and submit annual investor certifications.
- Loan Sale Documentation: Upload sold loan documents into Encompass, maintain tracking spreadsheets, collaborate with bank attorneys to obtain final recorded documents, and update recording logs.
- Financial Reconciliations and Wires: Execute daily internal wires related to secondary market activity and perform monthly general ledger reconciliations for net funding, loans in process, appraisal and inspection fees, insurance, discharge fees, and tax monitoring fees.
- HMDA: Accurately input and maintain HMDA data in compliance with regulatory requirements, ensuring completeness, accuracy, and timely reporting of loan application information.
Qualification Standards:
- Associate's degree in business, finance, or a related field preferred.
- Minimum of 1-3 years of experience in loan servicing, escrow administration, insurance processing, mortgage operations, or a related financial services function preferred.
- Familiarity with mortgage servicing software and systems is preferred.
- Strong knowledge of loan servicing, insurance requirements, and escrow processes.
- Excellent attention to detail and organizational skills.
- Strong problem-solving abilities and the ability to handle multiple tasks simultaneously.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Ability to communicate effectively with customers, employees, and external partners.
- Strong work ethic, self-motivation, and ability to work independently.
- Professional demeanor and ability to handle sensitive information with confidentiality.
- Ability to work under pressure and meet deadlines.
Equipment, Machines and Software Used:
- Basic Equipment and Machinery : Basic personal computer skills that include the ability to send/receive e-mail messages, post information to a database or spreadsheet, and perform basic word processing, bookkeeping, and/or data entry. Ability to create spreadsheets, graphics, and reports using standard software applications.
- Ability to operate a computer, printer, scanner, copier, facsimile machine, telephone, adding machine, postage meter and calculator.
- Computer Software: Ability to utilize word-processing, spreadsheets, banking/mortgage servicing software, and Adobe Acrobat.
Physical and Mental Requirements:
- While performing the duties of this position, the Escrow, Insurance & Investor Relationship Specialist is regularly required to reach, sit, stand, walk, push, pull, lift, use fingers, grasp, feel, talk, hear, and perform repetitive motions.
- The physical requirements of this position call for the ability to lift, move, push, pull, or otherwise exert up to 25 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
- Close mental and visual attention required to perform work dealing primarily with preparing and analyzing data and figures, performing accounting duties, using a computer terminal, and/or extensive reading.

- There is no exposure to adverse environmental conditions. Work is performed in a typical office work environment.

The base pay range for this position is $22.40 - $26.00 per hour. Exact offers will be determined based on job related knowledge, skills, and experience.
