JOB TITLE: Assistant Director of Grant Administration

DEPARTMENT: Finance and Grant Administration

SUPERVISOR: Director of Finance and Grant Administration

WORKING HOURS: Full-time hours

PAY RANGE: $60,000 - $65,000, annually

JOB SUMMARY: The Institute receives multiple federal, state, and private grants to fund services to clients. The Assistant Director of Grant Administration will work with the grant-funded program departments to provide oversight, management and development of policies relating to the Institute's pursuit, acquisition and administration of grants. This position will supervise some grant personnel including, Government Grants Manager and Grant Assistant role.

QUALIFICATIONS :

Education : Bachelor's degree in accounting, communications, leadership or related field required, Master's degree preferred.

Experience : Previous experience with grant related work required, including governmental grants. Must have knowledge of accounting principles and federally funded lines (VOCA, OVC, PRM, ORR, etc.). Managerial skills within a non-profit work environment strongly preferred.

  • Must be professional and abide by the guidelines listed in the Policy & Procedure section of IIB Employee Handbook & Federal Award Policy and Accounting Manual .
  • Must maintain confidentiality in communication and sensitive grant file information.
  • Ability to prepare and clearly present programmatic and financial information to both non- financial and financial audiences.
  • Strong Skills with: Windows, Excel, and working in web-based online submission portals.
  • Effectively manage the Government Grants Manager and Grant Assistant positions.
  • Assist with preparing detail and accurate finance reports on a timely basis for over 30 wide agency funding sources.
  • Excellent communication (oral and written), interpersonal and organizational skills, including time management.
  • Ability to work cooperatively with a diverse team of colleagues, clients, and external partners. Previous work among diverse cultures and/or refugee populations is preferred.
  • Ability to work in a multi-cultural setting including a variety of ethnic and religious backgrounds and lifestyles.
  • Attention to detail, ability to work independently with excellent organizational skills.
  • Ability to multi-task and meet short timelines and deadlines.

DUTIES AND RESPONSIBILITIES:

  • Lead the Institute's effort to identify, create, and oversee all grant programs and processes.
  • Create workflow mechanisms to ensure timely, efficient, and transparent processes and appropriate staffing for entire grant life cycle.
  • Oversee and coordinate the development of external grant applications/proposals, working directly with program leadership as needed.
  • Work with senior leadership formulate and implement policies and procedures regarding government and other funded programs to ensure that such programs are aligned with the Institute's mission, vision, strategic plan and activities.
  • Oversee the collection, maintenance, and dissemination of grant award contracts/agreements, maintain accurate institutional data related to grants, and participate in internal and/or external audits of department grants/contracts as needed and in accordance with its policies.
  • Oversee the grant reporting and vouchering to ensure timeliness and accuracy, and collaborate with the Director of Finance and Grant Administration to provide up to date cash flow projections.
  • Regularly meet with program department leaders to monitor grant budget spend-downs and staff time allocations and make modifications/budget amendments as needed.
  • Serve as the fiscal point of contact for all state and federal funders on behalf of IIB.
  • Review, approve and submit all programmatic and fiscal reports, and ensure timely submission to funders for a portfolio of assigned grants.
  • Contribute and update procedures and guidelines for grant management, compliance, and reporting. Streamline and identify necessary process updates.
  • Provide training and guidance to programs regarding development, submission, and compliance for grant proposals and awards. Special projects and other duties, as assigned.

WORK ENVIRONMENT: Office environment requires employees to consistently use manual dexterity in reaching, writing, navigating around the workspace. This position requires fully functional vision and auditory abilities. This position requires standing, sitting, walking, including up and down stairs, lifting and moving items of up to 30-pounds.
