This position requires in-office attendance — remote work is not available .

Global Fueling Systems provides sales, design, repair, and maintenance of oil and gas fluid management systems, and motor vehicle fueling systems.

Bookkeeping Assistant’s Job Responsibilities:

1. Data Entry & Recordkeeping


  • Accurately enter financial transactions into accounting software and related systems.

  • Maintain current and accurate records of all financial activities.

  • Review, process, and input invoices into the system.

  • Update and manage vendor information in both current and legacy accounting platforms.

  • Collaborate with the Invoicing Team to review and approve vendor invoices.

2. Account Reconciliation


  • Assist with the reconciliation of bank statements and other financial accounts.

  • Identify discrepancies and support their resolution under the supervision of the bookkeeper.

  • Accurately match and apply customer payments within the accounting software.

3. Documentation & Filing


  • Organize and maintain financial records in both physical and digital formats.

  • Ensure all financial transactions are accurately documented and systematically filed.

4. Accounts Payable & Receivable Support


  • Prepare and issue customer invoices; monitor incoming payments and follow up on outstanding balances.

  • Assist in processing payments to vendors and suppliers in a timely and accurate manner.

  • Coordinate with outsourced bookkeeping services to support financial tasks and ensure accurate recordkeeping.

5. Reporting & Financial Support


  • Assist in preparing financial reports as requested by management or the accounting team.

  • Monitor cash flow and accounts payable activity, providing insights to support financial decision-making.

6. General Administrative Tasks


  • Sort and distribute incoming mail daily to the appropriate departments.

  • Handle designated company deposits and share deposit slips with relevant departments for accurate recordkeeping.

  • Answer incoming calls and direct them to the appropriate personnel or department.

Bookkeeping Assistant’s Skills/Qualifications:


  • Associate’s degree in Accounting, Finance or related field

  • 1+ years of experience in bookkeeping or similar role

  • Strong knowledge of accounts payable process and financial regulation

  • Excellent Organizational skills and memory skills

  • Excellent Communication skills

  • Excellent Microsoft Office skills

  • Proficiency in accounting software (e.g., QuickBooks) and Microsoft Excel.

  • Strong understanding of financial principles and bookkeeping best practices.

  • Excellent attention to detail and accuracy.

  • Ability to work independently, collaborate with a team, and manage multiple tasks effectively.

  • Excellent Work Ethics

  • Demonstrating excellent work ethics by consistently adhering to company core values and upholding professionalism in all tasks.
