Job Description

The Accounts Payable Specialist is responsible for managing and processing all accounts payable transactions to support operations across multiple campuses. This role involves handling invoices, reimbursements, refunds, and credits, ensuring compliance with policies and regulations. The specialist will ensure timely payments, maintain accurate records, and provide excellent service to all stakeholders.

Responsibilities

• Ensure accurate and timely processing of invoices, reimbursements, refunds, credits, and related items in the Enterprise Resource Planning (ERP) software.
• Maintain awareness of sensitive payment terms, rebates, and discount opportunities based on payment timing.
• Identify and address issues requiring additional intervention in a timely manner.
• Ensure timely and accurate distribution of mailed payments.
• Enforce compliance with applicable policies, procedures, and regulations for all invoices and reimbursements.
• Ensure supplier file processes and standards are followed to issue payments to the correct suppliers.
• Maintain and update supplier invoice databases weekly, ensuring accuracy and completeness.
• Respond to inquiries and requests professionally and promptly, assisting colleagues and suppliers with invoice processing and payment status.
• Assist with monthly and year-end activities, including 1099 filings.
• Identify and pursue unclaimed funds for the organization.
• Maintain accessible records to support financial processes and compliance.
• Collaborate with departments such as Supply Chain, Finance, and Treasury to ensure efficient and effective operations.

• 2+ years of experience in Accounts Payable
• Proficiency in accounting software
• Strong skills in Microsoft Office, particularly Excel
• Excellent vendor communication and administrative support abilities
• Attention to detail and strong computer skills

• Associate's degree preferred for further advancement opportunities

The position operates within a team of over 15 Accounts Payable professionals. The work hours are from 8:00 AM to 4:30 PM, Monday through Friday, with a 30-minute lunch break. The dress code is business casual. The organization offers opportunities for growth within the largest health system in the area.

Job Type & Location

This is a Contract to Hire position based out of Menands, NY.

Pay and Benefits

The pay range for this position is $20.00 - $24.00/hr.
