We are seeking a dedicated Administrative Assistant to join our team. The successful candidate will answer and direct incoming phone calls and emails in a professional manner, prepare, edit, and distribute correspondence, reports, and other documents, and maintain organized electronic and physical filing systems. This role also includes ordering and managing office supplies, coordinating with vendors, assisting with data entry and basic reporting, and supporting internal teams with various administrative and clerical tasks. Handling confidential information with discretion and assisting with special projects as assigned are also key aspects of this role.
Responsibilities

Answer and direct incoming phone calls and emails professionally.

Prepare, edit, and distribute correspondence, reports, and other documents.

Maintain organized electronic and physical filing systems.

Order and manage office supplies and coordinate with vendors as needed.

Assist with data entry and basic reporting.

Support internal teams with administrative and clerical tasks.

Handle confidential information with discretion.

Assist with special projects and additional duties as assigned.
Essential Skills

1-3 years of administrative or office support experience preferred.

Proficiency in Microsoft Office (Word, Excel, Outlook).

Strong written and verbal communication skills.

Excellent organizational skills and attention to detail.

Ability to multitask, prioritize, and meet deadlines.

Professional demeanor and strong customer service skills.

Ability to work independently and as part of a team.
Additional Skills & Qualifications

Familiarity with scanning and filing processes.

Experience with Excel data entry.
Work Environment
The work environment consists of a team of about 10 people in the office. The working hours are Monday to Friday, on-site from 8:00 AM to 4:30 PM. This role is an urgent backfill for the team.
Job Type & Location
This is a Contract to Hire position based out of Brentwood, NY.
Pay and Benefits
The pay range for this position is $18.00 - $23.00/hr.
