Overview The Executive Assistant will provide high-level administrative support to the Chief Information Officer (CIO) and three of his direct reports. This role requires strong organization skills attention to detail and the ability to manage multiple priorities in a fast-paced environment. The executive assistant will serve as a key point of coordination for the leadership team while maintaining professionalism, discretion, and confidentiality. Ability to effectively communicate via phone and email ensuring that all Executive Assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals. Responsibilities- Promptly reply to email, telephone or face to face enquiries, as well as answer and direct phone calls
- Provide comprehensive calendar management, including scheduling complex meetings across time zones and prioritizing competing demands
- Coordinate travel logistics including domestic and international flights accommodations and detailed itineraries
- Organize and schedule appointments/events, book conference calls, rooms, taxis, couriers, hotels etc.
- Submit and reconcile expense reports & prepare and monitor invoices
- Organize and support leadership meetings, including agenda creation, minute taking, action item tracking, and follow up
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.; maintain digital and manual filing systems
- Generate reports; assist in the preparation of regularly scheduled reports
- Provide information by answering questions and requests for both internal and external individuals
- Handle various projects as needed by the CIO and department
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Handle sensitive and confidential information with the highest level of discretion
- Resolve administrative problems
- Greet and assist visitors to the office
- 5+ years of experience as an Executive Assistant or simliar position
- Proven executive assistant experience
- Knowledge of office management systems and procedures
- Proficient in MS Office
- High command of verbal and written communication
- Self-motivated individual, excellent collaborator driven by achieving goals
- Excellent time management skills and ability to effectively prioritize tasks
- Attention to detail and problem solving skills
- Strong organizational and planning skills
