Executive Assistant to Head of People for P&C and Americas
We are looking for an experienced, proactive, and highly organized Executive Assistant to support a senior Human Resources executive. This role will work closely with senior leaders and stakeholders across multiple geographies, serving as a key point of coordination and helping drive effectiveness across leadership activities, business priorities, and strategic initiatives.
About the Role
This role is far more than traditional administrative support. You will serve as a trusted partner, helping to manage priorities, navigate complexity, and ensure the smooth operation of a fast-paced global agenda. Success in this role requires strong judgment, exceptional organizational skills, discretion, and the ability to anticipate needs before they arise.
Swiss Re's global business structure means many teams span different countries. This role requires strong partnership across jurisdictions and confidence navigating a matrixed environment.
Key responsibilities are to include :
- Manage a complex and dynamic calendar, balancing competing priorities and proactively resolving scheduling conflicts.
- Coordinate meetings across global time zones, including leadership meetings, stakeholder engagements, workshops, and off-site events.
- Assist with the preparation, formatting, and quality review of executive presentations, reports, and reoccurring communications.
- Act as a trusted gatekeeper for the executive, helping prioritize requests, communications, and commitments.
- Manage and coordinate executive travel, ensuring seamless planning and execution of domestic and international trips.
- Support team activities, including agenda preparation, logistics coordination, meeting materials, and follow-up actions.
- Prepare and process expense reports and invoices in a timely and accurate manner.
- Handle highly confidential and sensitive information with absolute professionalism and discretion.
- Identify opportunities to improve administrative processes, meeting cadences, information flow, and team effectiveness.
- Provide support for special projects and other strategic initiatives as needed.
About the Team
This role is part of a global team of eight Executive Assistants providing high-level support to Human Resources Executive leaders based in Slovakia, Switzerland, and the United States. The team works collaboratively across regions, fostering a culture of openness, knowledge sharing, and mutual support. Regardless of location, team members work closely together, readily sharing expertise and assisting one another to ensure seamless support for the HR leadership team.
This position will be supporting the Global Business Partner for P&C Re & the Americas who is located in New York.

About You
You are a highly capable Executive Assistant who brings a strong sense of ownership, sound judgment, and a service-oriented mindset. You thrive in dynamic environments, comfortably managing multiple priorities while maintaining attention to detail and a calm, professional presence.
You are equally comfortable coordinating complex logistics, engaging with senior executives, and anticipating what needs to happen next.
Key requirements include :
- Significant experience as an Executive Assistant or Senior Administrative Partner supporting senior executives, ideally in HR, financial services, insurance, reinsurance, consulting, or another complex global organization.
- Demonstrated ability to manage multiple priorities and adapt to changing business needs.
- Exceptional organizational, communication, and stakeholder management skills.
- High degree of professionalism, discretion, and ability to manage highly confidential and sensitive information.
- Ability to work independently while building strong partnerships across teams and functions.
- Strong attention to detail and commitment to delivering high-quality work.
- Resourceful, proactive, and solutions-oriented approach.
- Strong proficiency with Microsoft Office applications, including Outlook, PowerPoint, Excel, Word, Teams, and SharePoint.

Our company has a hybrid work model where the expectation is that you will be in the office at least three days per week.
The estimated base salary range for this position is $100,000 to $150,000. The specific salary offered for this or any given role will take into account a number of factors including but not limited to job location, scope of role, qualifications, complexity/specialization/scarcity of talent, experience, education, and employer budget. At Swiss Re, we take a "total compensation approach" when making compensation decisions. This means that we consider all components of compensation in their totality (such as base pay, short-and long-term incentives, and benefits offered), in setting individual compensation.
