POSITION SUMMARY:
Workable implementation support role responsible for assisting the People & Organizational Transformation team with the migration, organization, and preparation of employee records, HR documentation, and internal workflows during the transition to the new HRIS and recruiting platform.
This temporary, part-time role will focus heavily on document management, digital file organization, data preparation, system migration support, and process coordination to ensure an efficient and accurate implementation of the Workable platform. The ideal candidate is highly organized, detail-oriented, technically proficient, and comfortable handling confidential employee information.
The anticipated duration of this engagement is approximately 8-12 weeks, based on business needs and implementation timelines.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Support the implementation and configuration activities related to the Workable HR and Recruiting platform.
- Assist with the transition of employee records and HR documentation from existing systems into Workable.
- Coordinate the preparation, organization, and indexing of digital personnel files for system upload and migration.
- Support testing activities, workflow validation, and quality assurance efforts during implementation.
- Assist with identifying missing or incomplete employee documentation and coordinate remediation efforts as needed.
- Maintain strict confidentiality and security standards for employee and company records throughout the migration process.
Personnel File & Document Management
- Download employee personnel files from SharePoint repositories and organize records according to established file structures.
- Access and retrieve employee performance documentation from the existing Trakstar Performance Management system.
- Convert, format, rename, and organize files into standardized PDF formats for upload into Workable.
- Create and maintain indexed digital folders to support efficient system uploads and long-term record management.
- Conduct quality reviews to ensure files are complete, properly labeled, legible, and accurately categorized.
- Assist with document retention and file audit activities related to the migration process.
Workflow & Process Transition Support
- Assist with transitioning existing HR forms, templates, and internal workflows into Workable processes and automation workflows.
- Assist with uploading and organizing onboarding documents, policies, templates, forms, and training materials.
- Collaborate with HR team to identify opportunities for improved workflow efficiency and process standardization.
- Support the development of implementation checklists, tracking logs, and migration status reports.
SUPERVISORY RESPONSIBILITIES: N/A
QUALIFICATIONS:
- Associate’s or bachelor’s degree in human resources, business administration, or a related field preferred.
- 1–3 years of administrative, HR, records management, or project coordination experience preferred.
- Strong technical proficiency with Microsoft Office Suite, Adobe Acrobat, SharePoint, and cloud-based systems.
- Experience working with HRIS, ATS, or performance management systems preferred.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage sensitive and confidential information with professionalism and discretion.
- Ability to work independently, manage deadlines, and prioritize multiple tasks in a fast-paced environment.
- Strong written and verbal communication skills.
