Mediation Matters is a 501(c)3 nonprofit organization serving New York State’s Capital Region, helping people find common ground in a divided world. We work every day with neighbors, families, and communities who are already in conflict; we see what helps de-escalate it and what makes things worse.

What This Role Is About
The Program Associate delivers Mediation Matters’ core services, including mediation, restorative practices, and other conflict resolution services. In this role, you’ll work directly with clients, volunteers, and community partners to help people navigate conflict and find constructive paths forward. You’ll manage cases from start to finish, support volunteer mediators, and help ensure our services are accessible, organized, and high-quality.
What You’ll Do
Manage Cases & Deliver Services
- Conduct intakes, schedule services, and manage case files from start to finish
- Maintain accurate case data in Case Load Manager
- Facilitate mediations and restorative processes as needed
- Support volunteer mediators by staffing or tech hosting sessions
- Review case files to ensure they are complete and accurate
Build Relationships & Support Outreach
- Maintain strong working relationships with referral partners, court personnel, and volunteers
- Follow up with clients and referral sources in a timely and professional way
- Help create and maintain outreach materials (flyers, infographics, etc.)
- Participate in outreach and community engagement efforts
Support Volunteers
- Help schedule and coordinate volunteer mediators
- Monitor court calendars and provide updates to mediators when deviations from regular court appearances occur
- Participate in debriefs and support volunteers in their development
- Assist in identifying training or support needs for volunteers
Track Data & Maintain Quality
- Keep case records accurate, up-to-date, and well-organized
- Support reporting and file review processes
- Flag patterns, gaps, or issues for team review
Remain Flexible
- Travel within Mediation Matters’ six-county service area as needed
- Work occasional evenings or weekends to support programs and events
- Work both in-office and in community-based settings, depending on program needs
Support the Mission
- Participate in team and all-staff meetings
- Help lead occasional trainings for staff and volunteers
- Support MM’s anti-racism work and hold yourself and others accountable to it
What We’re Looking For
- Strong interpersonal skills and the ability to work with people in conflict
- Excellent organization, time management, and follow-through
- Ability to manage multiple priorities in a fast-paced environment
- Strong communication skills (written and verbal)
- Comfort using Microsoft Office and Google Workspace
- Commitment to anti-racism and working with people from all backgrounds
- Willingness to learn, grow, and try new approaches
