The Role Prospect Schools is seeking an organized, flexible, and mission-driven Associate Director of School Operations for our Founding Windsor Terrace campus to join us in support of our growing network of schools. The ideal candidate is fully dedicated to the mission of Prospect Schools and to supporting the success of our students and families. This person will report directly to the Director of Operations and be responsible for acting as a secondary leader of the school’s operations team and maintaining excellence in the school’s systems for safety, communications, and student information. Job Responsibilities Operational Leadership- Create and maintain systems to sustain the functionality and aesthetics of the school facility, including partnering with our external custodial and security services vendor
- With the Director of School Operations, support work on the school budget to ensure consistent and accurate financial reporting
- Ensure school systems are built with an eye for equity for students, families, and staff
- Co-design and lead regular professional development sessions around operational priorities
Enrollment and Student Recruitment
- The Associate Director of Academic Operations owns the student recruitment process from start to finish and actively collaborates with the network Student Recruitment Team and Director of School Operations to ensure we meet our enrollment targets
- Coordinates and implements various recruitment and retention programs and marketing strategies for special events relating to reaching the school’s recruitment and retention goals.
- Advises students and families concerning the registration process.
- In collaboration with the Network Student Recruitment Team and Director of School Operations analyzes trends in recruitment and retention initiatives
- Develops and organizes both on-campus and off campus recruitment events.
- Processes student enrollment, transfer, discharge, and readmissions; arranges the preparation of related records and files; and communicates the process proactively with appropriate personnel including Principal, Directors and Counselors, etc. .
Student Records Management
- Utilizing ATS to execute work related to food service, transportation, state testing etc.
- Coordinate timely and regular updates of essential student data (biographical, demographic, assessment, medical and attendance, etc.) to ensure there is accuracy and fidelity across all student information systems (ATS, Infinite Campus, CAAS, Schoolmint, and paper records)
- Maintain student data in ATS and Infinite Campus
- Responding to record requests from teachers, parents, and outside social service and education providers.
- Support the academic team with drafting communication around promotion in doubt and other student related matters
Compliance
- Ensure we meet enrollment targets by BEDs Day
- Distribute and collect student lunch forms annually to ensure that we meet our annual free and reduce price lunch targets
- Immunizations - monitor student immunization rate via ATS, send letter to families of excludable students and pull reports to ensure we reach a 99% rate
Student Services Management
- Coordinating school meals including distributing and collecting annual applications, as well as liaising with the vendor for all meal accommodations
- Coordinating Student Transportation including the bi-annual Student Metrocard distribution and accounting and arranging bussing for students with special transportation needs
Student Attendance and Student Supports and Intervention
- Record and reconcile student absences in student information system
- Monitor attendance daily to report trends in attendance
- Generating daily, weekly and monthly attendance reports
- Develop a school-wide plan for promoting the importance of attendance and celebrating individual students and groups of students who meet attendance goals
- Facilitate monthly student attendance review meetings to present specific case information, interpret and uphold attendance policies, update team members and determine appropriate interventions.
- Work collaboratively with School Counselors, DSO and Assistant Principal to identify students and determine appropriate interventions.
Safety & Facilities
- Using the facilities rubric and In coordination with the Director of Operations ensure the building is clean each day to receive all stakeholders.
- In preparation for evacuation drills secure Certificates of Fitness FDNY F07: Fire and Emergency Drill Conductor and S95: Supervision of Fire Alarm System
- Ensure we are in compliance with annual evacuation drill requirements ( 6 evacuation drill and 2 soft lock down drills before December 1st and 4 drills in the spring)
- Ensure school scores 95% on the network safety pressure test
- Bachelor’s Degree
- Close alignment with Prospect Schools’ mission
- A minimum of 3 years of operational experience is required, preferably in a school environment
- At least 1 year of leadership experience strongly preferred, preferably in operations or an adjacent field
- Strong project management skills across a variety of disciplines
- Collaborative spirit and skill
- Excellent communication skills
- Ability to adapt in a dynamic environment
- A minimum of a bachelor’s; master’s highly preferred
The salary for this role starts at $97,000, then increases based on years of experience. Our salaries are set through a lens of equity, and based on an individual’s skills, education, and years of experience relevant to the role.
