Gabrielli Truck Sales is seeking a dependable and organized Parts Administrator to support the daily operations of our busy Parts Department. This role is responsible for providing administrative support while delivering excellent customer service to both internal and external customers. The Parts Administrator will assist with paperwork, filing, answering phones, supporting the front and back parts counters, and ensuring the department operates efficiently.
Key Responsibilities- Answer incoming phone calls and direct customers to the appropriate parts personnel.
- Provide administrative support to the Parts Department.
- Process and organize department paperwork accurately and in a timely manner.
- Maintain filing systems for invoices, repair orders, purchase orders, and other department records.
- Assist customers and technicians at both the front counter and back counter as needed.
- Help process parts orders, invoices, and related documentation.
- Coordinate with service technicians and parts personnel to ensure timely delivery of parts.
- Maintain accurate records and assist with data entry into dealership systems.
- Support inventory-related administrative tasks.
- Keep the parts office and work areas organized and professional.
- Perform other clerical and departmental duties as assigned.
- High school diploma or equivalent required.
- Previous administrative, customer service, or dealership experience preferred.
- Experience in a truck or automotive dealership parts department is a plus.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to multitask and prioritize in a fast-paced environment.
- Friendly, professional, and customer-focused attitude.
- Ability to work independently as well as part of a team.
- Ability to sit, stand, and walk throughout the workday.
- Occasionally lift or move items weighing up to 25 pounds.
- Ability to work in both office and warehouse/shop environments as needed.
