Office Manager
MSQ is looking for an experienced and dynamic faciliites and office manager to handle the day to day operations of our new office located at 50 West 23rd Street in Manhattan. The ideal candidate is organized, has a sense of urgency, detail oriented, resourceful and knowledgeable about building operations. This person will manage the building personnel, vendors, internal personnel needs and look after a sub-tenant in the rear of our space. This is a full time job and on site requirements are Tuesday, Wednesday and Thursday. This person must be available to come to the office on Monday and Friday when there is a need – client meeting, vendor meeting, set-up of facilities or maintainence supervision. If this is not required, the candidate may work from home on those two days.
Ongoing Day-to-Day Operations:
Manage daily office operations, including:
- Maintaining office supplies and kitchen inventory.
- Ordering and coordinating lunches, ensuring proper break-down at the end of the day.
- Managing building relationships, including placing service calls and communicating with building staff (HVAC, maintenance, etc.).
- Oversee the activities of the receptionist, greeting and assisting visitors, including managing building access.
- Supporting ad-hoc requests and ensuring timely completion of urgent tasks.
Vendor Management:
- Manage relationships with key vendors (e.g., cleaners, shipping, garbage).
- Negotiate contracts and resolve any issues that may arise.
Event Support:
- Responsibilities may include:
- Organizing desk arrangements.
- Ensuring IT support for all equipment.
- Facilitating event logistics and addressing any on-site needs.
Office Maintenance:
- Ensure the office space is clean, organized, and well-maintained identifying problems before they arise.
- Address any maintenance issues promptly.
Requirements
- 3-5 years of experience in an Office Manager or similar administrative role.
- Proven experience interfacing with C-suite executives.
- Excellent communication and interpersonal skills, with the ability to confidently and effectively communicate with vendors and building staff.
- Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
- Proficiency in the Microsoft office suite of products
- A proactive and problem-solving approach with the ability to anticipate and address potential issues.
- A friendly and approachable demeanor.
Benefits
The salary band for this role is $80,000 - $100,000. Where a prospective new hire's base salary will fall within this band depends on several factors including their qualifications and experience, the skill level required in the role, market rates, and the salaries of existing crew members at Big Spaceship within the same role to maintain equity.
