Director, Clinical Logistics

Job Summary:
The Director of Clinical Logistics is responsible for overseeing and managing patient flow and throughput throughout the healthcare network, ensuring that patients receive timely and appropriate care while optimizing the use of resources across the network. This leadership role combines clinical expertise, operational oversight, and strategic planning to ensure the efficient movement of patients across various departments, from admission through discharge, all while maintaining high standards of care and maximizing throughput. The role also includes responsibility for coordinating telehealth initiatives, including eSitter services, telehealth consults, and the Cardiac Monitoring Unit (CMU), to enhance patient care and improve operational efficiency. Oversight is inclusive of medical and behavioral patients. The director establishes policies and procedures related to these areas of responsibility as well as development of metrics to ensure measurable success and reports to the Medical Director of Clinical Logistics
Responsibilities:
- Lead and manage the clinical patient logistics team, including capacity management coordinators for both medical and behavioral, nursing supervisors of clinical logistics, logistics support staff, and other clinical personnel to analyze throughput data to identify patterns, delays, and areas for improvement in patient movement processes
- Provide strategic direction and ensure alignment of patient logistics operations with organizational goals, with a focus on improving patient throughput and optimizing clinical outcomes.
- Develop and implement patient flow policies and procedures to optimize patient care, increase throughput, and improve operational efficiency.
- Foster a culture of teamwork, continuous improvement, and quality care across the network.
- Oversee the coordination of patient admissions, transfers, and discharges to ensure optimal utilization of network resources, including hospital beds, equipment, and staff, while maintaining high throughput levels.
- Collaborate with clinical and administrative departments within the network to streamline patient movement and reduce delays, thus enhancing throughput and minimizing bottlenecks
- Work closely with emergency departments, surgical teams, and other healthcare providers across the network to prioritize patient placement and care delivery to ensure efficient patient flow.
- Manage patient flow through the use of telehealth services, including eSitter technology, telehealth consults, and the Cardiac Monitoring Unit (CMU), to optimize patient care, particularly in remote or monitored settings.
- Oversees centralized transfer processes, including participation in clinical review of cases as necessary to ensure timely and safe patient transfers. Collaborates with physician leaders to ensure that APU policies meet clinical standards. Develops and monitors established metrics to ensure performance requirements are achieved.
- Oversees patient transport function and ensures that transport trip times remain within target range. Ensures that bed turn-around-time remains at target ranges for all sites through monitoring. Establishes policies and procedures related to transport activities between WMCHealth facilities. Develops and monitors established metrics to ensure performance requirements are achieved.
- Collaborates in negotiations for ambulance contracts and assists in the development and refinement of ambulance transport process flow to maintain data.
- Oversee the integration and coordination of telehealth services, including eSitter technology, to support continuous patient monitoring and enhance patient safety, especially for patients in need of constant observation or in remote locations.
- Collaborate with clinical teams to implement and optimize telehealth consults, improving access to specialist care and reducing delays in treatment.
- Ensure the effective use of the Cardiac Monitoring Unit (CMU), ensuring that patients requiring continuous cardiac monitoring are appropriately assigned and managed for optimal care and throughput.
- Is responsible and accountable for strategy, design, and operational aspects of designated behavioral health telemedicine services.
- Responsible for the analysis, planning, implementation and evaluation of telehealth opportunities in areas of responsibility. Responsible for leading and participating in cross functional strategic, tactical and performance improvement planning of telehealth applications. Oversees implementation and ongoing measure of same
- Monitors regulatory requirements for the application of telehealth in areas of responsibility as well as market and competitors to identify opportunities, positioning, and threats to WMCHealth behavioral health telehealth strategy.
- Develop workflows for telehealth consults and CMU integration to improve patient care, communication between teams, throughput and patient outcomes
- Manage the allocation of patient care resources across the network, ensuring they are used efficiently to maintain high throughput, including the effective deployment of telehealth technologies and remote monitoring systems.
- Monitor and analyze data on patient flow, throughput metrics, telehealth utilization, and resource allocation to identify opportunities to reduce bottlenecks and improve overall efficiency.
- Develop strategies to address capacity issues within the network, including working with leadership on surge planning, contingency strategies, and adjustments to optimize throughput during peak periods.
- Serve as the primary liaison between BH, clinical leadership, network departments, and external organizations to ensure effective communication and collaboration focused on improving throughput and telehealth integration.
- Ensure that clinical staff across the network are informed of patient logistics priorities, throughput goals, and any changes in patient flow policies or procedures, including the implementation and optimization of telehealth services.
- Coordinate with case management, social work, and discharge planning teams to ensure smooth transitions of care and efficient discharges to improve throughput
- Monitor and ensure compliance with healthcare regulations, accreditation standards, and internal policies related to patient flow, telehealth services, and throughput across the network.
- Participate in quality improvement initiatives aimed at enhancing patient experience, improving throughput, reducing wait times, and improving overall patient satisfaction.
- Ensure that patient safety is maintained at all times during the logistics process and throughout the throughput cycle, including during telehealth consultations and remote monitoring.
- Analyze patient flow and throughput data, including key performance indicators (KPIs), to identify trends, inefficiencies, and areas for improvement.
- Prepare regular reports for senior leadership on patient logistics performance, telehealth utilization, throughput metrics, and resource utilization across the network.
- Implement evidence-based practices to enhance operational efficiency, increase throughput, improve patient care outcomes, and optimize the use of telehealth services and monitoring technologies
- Other duties as assigned
Experience:
- At least seven years’ experience in a clinical health care setting, where the primary function in one or more prior positions was the supervision and administration of complex clinical processes/operations, required
- At least 3 years in leadership role, required
- Experience working in Behvioral Health, preferred
- Experience with clinical operations management or patient logistics, preferred
- Experience with eSitter services, telehealth, and Cardiac Monitoring Units (CMU), preferred.
Education:
- Graduate from an Accredited School of Nursing, required
- Bachelor's degree in Healthcare Administration, Business Administration, or related field, preferred
- Master’s degree, preferred.
Licenses / Certifications:
- Possession of a valid license and current registration, issued by the New York State Department of Education, as a Registered Professional Nurse, required
- Current Advanced Practice Provider (APP) license, preferred

- Strong understanding of patient flow systems, throughput optimization, hospital network operations, resource management, and telehealth technologies.
- Excellent interpersonal and communication skills, with the ability to collaborate effectively across departments to drive throughput improvements and telehealth integration.
- Knowledge of healthcare regulations, patient safety protocols, and quality improvement initiatives.
- Strong analytical skills and experience with data-driven decision-making.
